Write one brief for every supplier
Comparisons are useful only when each quotation answers the same requirement. Put the dimensions, quantity, condition preference, destination, cargo and delivery requirement in one short brief. Attach the customer specification or drawing where available. If a detail is unknown, say so; guessing a load rating or unloading arrangement can create a false sense of certainty.
Compare the complete offer
Check whether the quotation covers the requested treatment and marking, the agreed condition, delivery and any ancillary packaging. Confirm tax treatment and any charges separately. Ask whether a quoted lead time runs from order, payment, drawing approval or another trigger. A low headline price can mean little if essential elements are outside the offer.
Agree substitution and rejection handling
For repeat supply, decide how variations are approved and who may authorise a substitute. Keep the acceptance criteria accessible to goods-in staff. Agree a practical process for reporting the wrong size, damage or unclear markings, including the photographs and references the supplier needs. Resolve issues before pallets are loaded with goods.

Compare the quotation line by line
Check design, condition, quantity, treatment, marking, delivery and tax treatment on the quote. Resolve optional items before comparing the total. Ask what happens if the product offered differs from the drawing or customer specification. A phone discussion should be reflected in the order acknowledgement so the warehouse sees the same requirement.
Give decisions a named owner
Identify who approves a pallet substitution, who confirms destination requirements and who checks the delivered packaging. For repeated jobs, use a specification reference instead of copying an old email without review. Update it when the cargo or handling route changes.
