Begin with the cargo

Send a drawing, footprint, loaded weight and the location of feet or concentrated loads. Explain any overhang, lifting points and restraint needs. Include photographs where useful, but do not treat a photo alone as an engineering specification. Machinery and irregular loads may need a qualified packaging design assessment.

Describe every handling stage

Explain how the goods are assembled onto the base, moved inside the factory, lifted onto transport and unloaded. Identify fork approach restrictions, rack support and any unusual lifting equipment. A pallet designed for one stage should not be assumed suitable for all of them.

Agree the specification before manufacture

Confirm the drawing revision, quantity, treatment and marking requirements, and delivery deadline before committing to production. If packing includes blocks, battens or a case, include them in the scope. Any change to the cargo or lifting plan should trigger a review rather than an improvised adjustment on dispatch day.

Build a repeatable purchasing record

Keep the product identity, drawing revision and accepted construction together with the treatment requirement. If a substitution is proposed, compare it against the cargo and handling process before accepting it. An identical footprint is not enough to establish equivalence.

For repeat orders, tell the team about forecast volumes and the frequency of use. Agree how changes to the load, destination or receiving equipment will be communicated. This helps purchasing, packing and goods-in use the same information.

Compare the complete delivered offer

Ask which product and condition the quotation covers, what treatment and marking are included and how delivery is arranged. Include unloading equipment and any booking restrictions. An ex-yard price and a delivered price should be reconciled before comparison. Lead times, charges and availability are confirmed against the actual enquiry.
